Email Automations

Configure how Yasan handles incoming emails based on their topic labels.

Updated:

Yasan can automatically handle incoming emails based on their topic labels. You configure what happens when an email receives each label — from manual review, to a fully automated AI reply, to auto-closing without a response.

Open Automations from the sidebar or the More menu on mobile to configure rules.

Choose a default action#

For each label, choose one of these default actions:

  • Manual — keep the conversation in Inbox for your team to review.
  • Automate — Yasan sends an AI-generated reply.
  • Auto-close — Yasan closes the conversation without sending a reply.

Add advanced rules#

Advanced rules let you set a different action when a label contains or does not contain specific text, when the sender is a particular email address, or when the subject is a specific text or pattern. You can combine several conditions in one rule — all conditions must match for the rule to apply. Rules are evaluated from top to bottom, and the first matching rule is used.

Matching a subject#

The subject is condition matches against the whole email subject:

  • Matching is case-insensitive and ignores leading and trailing spaces.
  • Without a wildcard, the subject must match exactly. The pattern Order confirmation matches only that exact subject — it does not match Order confirmation 1234 or Re: Order confirmation. Use Order confirmation * to also match subjects that continue after the phrase.
  • Use * as a wildcard to match any text (including nothing). For example, We need information for * matches subjects like We need information for 1LEN24516337342, letting you route only those messages without affecting all mail from the same sender.

Combine subject is with a sender is condition to keep routing narrow — for example, auto-close only the courier notifications whose subject starts with a specific phrase, while other mail from that sender stays actionable.

Use the recent-conversations preview to check which messages a rule would affect before relying on it.

Set up each team#

For automated replies, you can choose the sender name and email footer for each team. This keeps automated replies consistent with the team handling that mailbox.

Review automated conversations#

Automated conversations appear in Auto:

  • Resolved by Yasan means Yasan sent an automated reply.
  • Auto-closed means Yasan closed the conversation without replying.

These statuses make it clear why a conversation was handled automatically.
